ESSENTIAL DUTIES AND RESPONSIBILITIES: This position is expected to work with minimal instruction or direction and be able to accomplish the following:

-Provides administrative support to ensure efficient operation of office.
-Answers phone calls, schedules meetings and supports visitors.
-Performs administrative duties such as filing, typing, copying, binding, scanning etc.
-Completes job requirement by scheduling and prioritizing projects and expediting work results.
-Makes travel arrangements for staff such as booking flights, cars, and hotel or restaurant reservations.
-Exhibits polite and professional communication via phone, e-mail, and mail.
-Supports team by performing tasks through strong organizational and communication skills.
-Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
-Provides information by answering questions and requests.
-Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
-Contributes to overall team efforts by accomplishing related tasks as needed. Assist staff with special projects, meetings and conferences, creating flyers, brochures, programs, and presentations

In order to perform the job successfully, the Administrative Assistant I must be able to perform all the aforementioned duties with a high degree of professionalism, while contributing to the overall cooperative team dynamic. The requirements listed below are representative of the knowledge, skill, and ability required.
High school diploma with 3 to 5 years related experience or equivalent education required. Knowledge of appropriate software including: Microsoft Office and Adobe Acrobat.
An Administrative Assistant must have the ability to communicate effectively with a variety of different audiences, and be proficient in the proper use of English grammar, spelling and punctuation, and speaking. The ability to be proficient in conversational Spanish is ideal.
An Administrative Assistant is able to solve practical problems and interpret a variety of instructions and information furnished in written, oral, and other forms. Desire to be proactive and create a positive experience for others. High emotional intelligence is necessary to achieve productive relationships with our members and fellow staff members.
The physical demands described here are representative but not limited to those that must be met by an employee in order to successfully perform the essential functions of this job.

1. All tasks, responsibilities and duties will take place from the State Federation Office located in Gainesville.
2. Will be required to work in an open office environment, and sit and talk or hear for extended periods of time.
3. May be required to aid and assist in setting up meetings, moving tables, plants and other materials moving weights up to 20-30 lbs.
4. May be required to drive a truck or van.
